You don't need 14 subscriptions. You need 7 tools set up properly.

It's the 3rd of the month and your card just got hit for Zoom, Kajabi, Typeform, a CRM you opened twice, and a Canva you share with your cousin. ₹11,000 gone, and you still copy lead names into a notebook by hand. This guide names the 7 tools, with Indian pricing, and the exact settings that do a VA's job. Cancel the rest tonight.

This is not a "top 10 tools for coaches" listicle. Every tool comes with the price in rupees and the one setting that matters. Two of the seven, as written.

High Ticket Engine · The 7-Tool Coaching StackGuide
Tool 3 · Calendly Standard · ₹850 a month
"One event type only: 'Growth Diagnosis Call, 45 min'. Settings that matter: Buffer 15 min after (you need to write notes). Minimum notice 18 hours (no same-day bookings, they never show). Daily limit 4. Add 3 invitee questions, all required: current monthly revenue, biggest bottleneck, 'Have you watched the 12-minute video? Yes / No'. Turn on the workflow: WhatsApp-style SMS reminder 24 hours and 1 hour before. That reminder alone moves show rate from 40% to 60%."

Why it works: the 18-hour minimum notice kills impulse bookings that never show. The required questions are a mini application. And the reminders run without you, which is what you were paying a VA ₹15K a month to forget to do.

Tool 5 · Razorpay · ₹0 a month, about 2% per payment
"Create one Payment Page per offer, not per client. Turn on 'Affordability widget' so EMI options show on the page: ₹1.5 lakh becomes '₹12,900 a month on 12 EMIs' and the objection disappears before it's spoken. Set 'Expire link in 48 hours' on every payment link you send after a call. Add a 'Partial payment' option only for the booking deposit (₹25,000 minimum). Turn on the WhatsApp notification so you know the second money lands, and never ask 'did you pay?' again."

Why it works: EMI on the page reframes ₹1.5 lakh as a monthly number a salaried founder already understands. The 48-hour expiry turns "I'll pay by the weekend" into a Thursday decision. And the notification kills the awkward chase.

That's 2 of 7. The other 5, including the WhatsApp Business labels that replace a CRM, the Google Sheet that runs your pipeline, and the Tally form that filters 8 of 10, are in the PDF below.

The 7-Tool Coaching Stack: what you actually get.

1

The 7 tools and what each one owns

WhatsApp Business, Google Workspace, Calendly, Tally, Razorpay, Canva, Notion. One job each, no overlap.

2

Real Indian pricing

What you actually pay per month, annual vs monthly, and the free tier that's enough for 4 of the 7.

3

The settings that replace a VA

Labels, quick replies, buffers, minimum notice, expiring links, auto-reminders. Screen by screen.

4

The one-sheet CRM

Six columns in Google Sheets that beat HubSpot for a coaching business under 30 clients.

5

The kill list

Six subscriptions most coaches pay for and never need, and what to use instead.

6

When to upgrade

The exact lead volume and client count at which each free tier breaks, so you don't pay early.

Be honest

Be honest. Your tool stack is a graveyard of good intentions.

→

It's 11pm and you're searching WhatsApp for a lead's name because you never wrote it anywhere else.

→

You paid ₹8,000 for a CRM in March. You logged in twice. It's September.

→

A client asked for the payment link and you sent a screenshot of your UPI QR, like a chai stall.

→

Your Calendly still says "30 min chat" and anyone on earth can book you at 8am tomorrow.

→

You have 3 Canva accounts, 2 Zoom logins and one Google Drive folder called "FINAL FINAL v3".

None of that is a tools problem. It's a setup problem: you bought software and never gave it a job. This guide gives each of 7 tools one job and the settings to do it without you.

Questions you're probably asking

Because GHL is about ₹8,500 a month and it's an aircraft cockpit. If you have a setter, a funnel and 100+ leads a month, GHL earns its money. If you have 12 leads a month and no team, you'll pay ₹1 lakh a year to feel organised. This stack gets you to 30 clients on ₹1,400 a month. Upgrade when the numbers in the guide say so.
The free app is enough until you're sending more than 200 messages a day or you have 2+ people replying. Labels, quick replies, catalogue, away messages and broadcast lists cover a solo coach completely. The guide tells you exactly when the API (via a provider like AiSensy, about ₹999 a month plus per-message) starts paying for itself.
You don't need one for a 1-on-1 or small-group offer. Notion (free) plus YouTube unlisted videos plus a Google Drive folder is a client portal that costs ₹0 and takes 40 minutes to build. Kajabi at ₹12,000 a month is for people selling 500 seats of a ₹5K course, not 8 clients at ₹1.5 lakh.
Yes. Razorpay Payment Pages are a hosted page with your logo, the offer name, EMI options and a receipt. Clients pay by UPI, card or netbanking. You get a WhatsApp notification. No website, no developer, ₹0 monthly fee. The guide walks you through the 6 settings that matter.

The stack runs the business. Something still has to fill the calendar.

That's the part we build. A done-for-you engine: positioning, offer, sales video script, funnel, pre-qualification, booking, nurture and ads. Live in 14 days, then fully automated. 5 to 7 ready-to-invest calls a day. 100+ in 30 days, or you don't pay. You show up and close.
