11:07am. The Zoom room has been you and your own face for seven minutes. You send "Hey! Are you joining?" and watch two grey ticks not turn blue. Later you'll send "No worries, whenever you're free!" and they'll never be free. This file is three messages for no-shows and three for "later" people, word for word, sent at exact hours, with zero apology and zero "checking in", so a third of them rebook and the rest leave your pipeline cleanly instead of rotting in it.
These are the messages, with the send-times, not a philosophy of follow-up. Two of the six, exactly as written.
Why it works: no "hope everything's ok", no "no worries". It says the missed call cost you something (a half-drafted plan), offers exactly two slots, and puts an end on it. People rebook when there's a cost and a deadline. They ghost when there's "whenever you're free".
Why it works: it uses their own numbers back at them, from the form, and reframes "later" as a monthly cost. Then it gives them two clean exits: correct the maths, or give a date. "I'll close your file" is the line that gets replies. Nobody likes being closed.
That's 2 of 6. The other 4, including the 24-hour no-show message that gets the highest rebook rate, and the day-10 "closing your file" message that either rebooks or cleans your pipeline, are in the PDF below.
Six messages, three for no-shows and three for "later" people, with send-times, the 20-minute rule, and the pipeline-cleaning rule. Where should we send it?

Tonight: send Message 1 to every no-show from the last 14 days and "Later" Message 1 to everyone who said "next month" in the last 30. By next week a third will have rebooked and the rest will finally be out of your head.

Three messages at 20 minutes, 24 hours and day 4. Cost, scarcity, close. Word for word.
Three messages at day 1, day 3 and day 10 for "after this month" and "let me think". Uses their own form numbers.
Every phrase that kills a rebook ("no worries", "hope all's ok", "whenever works") and what to say instead.
The message that closes a file, why it gets more replies than any nudge, and what to do with the reply.
Three numbers to track so you know your real show rate, not your hopeful one.
11:04am: alone on Zoom. You send "Hey, are you joining? :)" and watch the ticks stay grey.
11:20am: "No worries at all! Let me know whenever you're free to reschedule." You feel gracious. They feel nothing.
Day 3: you scroll past their name in WhatsApp and feel a small sting. You don't message. It'd be awkward now.
Day 9: "Hey! Just checking in on whether you'd still like to chat :)" Blue ticks. Nothing.
Day 30: they're still in your "pipeline" spreadsheet, marked "warm". They're not warm. They're furniture.
None of that is a flakiness problem, people miss calls. It's a recovery problem: you have no scripted, timed, apology-free sequence, so you improvise politeness and get ghosted. This file is the sequence.
